Is the room free? Otis can now check

Connect a room's booking calendar and Otis checks it live before answering. No more guessing, and no more double bookings by chat.

"Is the meeting room free at 2?" "Can we use the sauna this evening?" "Is the function room booked on Saturday?" Until now, the honest answer from Otis was "let me check with the team".

Now he can check for himself.

How it works

Most calendars and booking systems can share a calendar link (an iCal or .ics address). That includes Google Calendar, Outlook, Apple Calendar, and booking tools like Nexudus, OfficeRnD and Skedda. Add that link to a room or facility in your dashboard, and Otis checks it whenever someone asks. It's refreshed every few minutes, so it's always close to live.

Is Room B free at 2?

Yes, Room B is free from 2 until 3:30. You can book it here.

If it's busy, he says when it's next free. It works for meeting rooms and phone booths, treatment rooms, hot tubs, courts, function rooms, anything with a calendar.

He checks, you book

Otis never books or holds a room himself. If it's free, he shares your booking link so the guest can book it properly, through your system, under your rules.

Private by default

Calendar links are secret addresses, so guests never see them, and neither does Otis's chat. Nobody sees who booked a room or what for: just whether it's free or busy.

How to

  1. In your calendar or booking system, copy the room's iCal (.ics) link. It's usually under sharing or export settings.
  2. In your dashboard, open the space, find the room or facility, and paste the link.
  3. Ask Otis on your guest page whether it's free, and watch him check.

Otis saysI'm a bell. I'm excellent at knowing when things are booked.
